How to Choose the Right Virtual Assistant for Your Business

Let's be honest. It's ten o'clock at night. You've finished your actual work, and now you're sat on the settee with the laptop, answering emails, chasing an invoice from three weeks ago and trying to remember if you replied to that enquiry. (You didn't.)

You tell yourself it's just a busy patch. It's been a busy patch since March.

You didn't start a business to become your own worst-paid employee. But that's exactly what happens when you try to do everything yourself.

The bit nobody says out loud

Most business owners don't need to work harder. They need to stop doing jobs that someone else could do faster and cheaper.

Charge £50 an hour and spend ten hours a week on admin? That's over £2,000 a month of your time on stuff that doesn't need you.

You're not saving money by doing it yourself. You're just paying for it a different way.

Try this: your ten-minute reality check - Don't just read this bit. Grab a pen.

1 Open last week's diary and write down every job that wasn't the work you're actually paid for, emails, bookings, invoices, chasing, posting, filing, and all those “quick” jobs that took an hour.

2 Add up the hours. Be honest, and count the evenings.

3 Multiply that by what you charge per hour. That's what your admin cost you last week.

4 Now the bit that matters. Write down what you'd do with those hours if you got them back.

More clients? The new service you keep putting off? Tea with your family instead of your

inbox?

Keep that list. That second answer is the real value of a VA. Not tidier admin. Your time, back where it belongs.

Sound familiar?

  • You've got hundreds of unread emails and a knot in your stomach every time you open your inbox

  • Your last social media post was so long ago it's embarrassing

  • You've lost work because you took too long to get back to someone

  • You're doing your invoicing at the weekend. Or not doing it at all

  • You've said “I'll get round to it” so many times you've stopped believing yourself

If two or more of those made you wince, you don't have a time problem. You have a support problem.

Why people put it off (and why it doesn't add up)

“I can't afford it.” Fair enough. Nobody should spend money they haven't got. But if you did the reality check above, you already know what your admin is costing you. For a lot of people, it's more than a VA would.

“Nobody will do it the way I do.” Probably not straight away. That's what the first few weeks are for. A good VA learns how you like things done, then often finds a quicker way.

“It'll take longer to explain than to do it myself.” Once. It takes longer once. After that, it's off your plate for good.

“I don't want someone else handling my clients' details.” Good. You shouldn't trust just anyone with them. Which brings us to the important bit.

How to Choose the Right Virtual Assistant for Your Business, and questions to ask!

Here's the uncomfortable truth: anyone can call themselves a virtual assistant. There's no licence and no exam. So the checking is down to you. Ask these questions, and don't be shy about it.

1 Are you registered with the ICO? If they'll be handling personal data and aren't registered, that's not a small slip. Walk away.

2 How do you keep my data safe? They should be able to explain it in plain English. Waffle is a red flag.

3 Are you DBS checked? Essential if you work with vulnerable people or sensitive information.

4 Is there a minimum term? Some services lock you in for a year. If they're good, they shouldn't need to.

5 What happens to hours I don't use? If the answer is “they disappear”, you're paying for nothing.

6 Will you tell me when something isn't working? You want someone who'll say “this is wasting your time”, not someone who just nods along.

If a VA gets defensive when you ask these, you've got your answer.

Why a VA on its own isn't always enough

Here's a story we hear all the time. Someone hires a VA, gets their evenings back, and then fills them with more of the same. The business doesn't grow. It's just tidier. That's because a VA fixes the doing. It doesn't fix the direction. A business coach looks at the whole picture and asks the awkward questions. Why are you still offering the service nobody buys? Why

haven't your prices changed in three years? What would you actually do with ten spare hours a week?

That's why every Olive and Elm retainer comes with both: dedicated VA hours to clear the decks, and business coaching every month to make sure the time you get back goes somewhere.

Why a local VA and business coach in Hartlepool matters

Could you hire a VA from anywhere? Yes. Would they know that half of Teesside does business through who knows who? Probably not.

Round here, people buy from people, and word of mouth still wins. Knowing the local networking groups, the faces and how things work in Hartlepool, Stockton and Middlesbrough makes a real difference. You get advice that fits your market, not something lifted from a London agency's blog.

Our Forest retainer even includes someone going to a local networking event on your behalf each quarter, flying the flag for your business when you can't be there.

What we do (the short version)

Monthly VA retainers

• Grove: a steady pair of hands for the basics

• Woodland: more hours for when there's more going on

• Forest: for when you're ready to grow, with WhatsApp support, quarterly strategy reviews and networking on your behalf

There's no minimum term on Grove or Woodland. We'd rather you stayed because it's working, not because a contract says so. Every tier includes an hour of business coaching a month, which you can bank up to three hours. Don't use it? We'll send you an improvement report and action plan within a week instead. You never pay for something you don't get.

Launch bundles for new private practices
